Notion vs ClickUp

A home for shared knowledge or a system for getting projects over the line?

Updated 7 October 2026 · Research-based guide

Our take

Start with Notion when documents and shared knowledge are central; shortlist ClickUp when task ownership and delivery are your main challenge.

What needs to improve?

If information is scattered, start with a knowledge problem. If work stalls because nobody knows who owns the next step, start with a delivery problem. One tool can cover parts of both, but the starting point matters.

Side by side

Consideration Notion ClickUp

Test with your own work

In Notion, build a project brief and connect it to a simple task database. In ClickUp, assign tasks, set dates and review the next week’s workload. Judge whether your team can maintain the structure without a dedicated administrator.

Keep the stack small

Choose one main home for work and document what belongs there. Using two tools can make sense, but duplicating every task and document usually creates more work.

Which should you choose?

Our shortlist follows the use case, not a universal winner. Compare the ordinary subscription cost after any offer ends and make the trial reflect a normal working week.
